The Client

The Daisie Rich Trust is a charity based on the Isle of Wight which makes grants to former employees or their dependants of historic local retailer Upward and Rich Limited and to other local charitable organisations or needy individuals. The Trustees are responsible for managing a diverse portfolio of assets to produce investment income for distribution to claimants in accordance with the Trust Deed.

The Issue

The time-critical nature of many grant award and investment decisions, especially during the recent economic downturn, was placing great strains on the paper based administration of the charity, as well as in arranging and informing frequent meetings of the busy Trustees. As experienced senior businesspeople from the private and public sector, the Trustees recognised the potential for computer and internet based improvements, but were concerned to ensure the absolute security of sensitive information.

Cemoc Solution

Using the paperless office capabilities of Microsoft Sharepoint software, Cemoc enabled secure web access to an electronic document library for the Trustees from anywhere in the world by internet or mobile connection. From a single office PC and scanner, the Trust administrator can now upload all incoming documents into a database, and immediately notify some or all Trustees of the need for advice, comment or decision. For physical security of data and to free the Trust of IT management overhead, the system servers are hosted in secure premises at Cemoc House, with dual redundant internet access.

Results

The Daisie Rich Trustees are delighted. Not only has the new Cemoc software helped the Trustees to make urgent and more informed decisions without the need for face to face meetings, it has also allowed the Trust to free up costly office premises for income generation by enabling home working.

Daisie Rich Trust administrator, Lyn Mitchell says:
"The Cemoc system is very easy to use and it has streamlined our administration, allowing the Trust to concentrate our time and resources more effectively on our key role of helping those in need. We know that with Cemoc our data is in safe hands.”

Daisie Rich Trustee, Adrian Medley adds:
“The key benefit for us all is to be able to access our information 24/7 without the need for costly in house IT support staff.”
